Your Role:
As a Staff Accountant, you will manage day-to-day accounting operations and support financial reporting, analysis, and compliance in collaboration with the fractional CFO and CEO. You will oversee the full monthly accounting cycle, maintain accurate and audit-ready financial records, and develop analytical reports that support financial planning and organizational growth.
This role goes beyond transactional accounting, combining hands-on bookkeeping, reconciliations, financial analysis, and opportunities to use AI tools to improve accounting workflows.
You will:
Day-to-Day Accounting
- Maintain the general ledger in QuickBooks Online (QBO), including recording and summarizing transactions and generating reports for management and auditors.
- Handle routine QBO administration, including maintaining the chart of accounts, classes, and user access, while following established account administration protocols.
- Record donations, grants, and contributions through invoices or sales receipts, ensuring consistent receivables coding and appropriate application of accounting principles.
- Upload and code vendor invoices in Ramp and review accounts payable coding transferred from Ramp to QBO.
- Record payroll in QBO through journal entries based on payroll provider reports.
- Prepare and post journal entries for pledges receivable, grants payable, bank and investment activity, prepaid expense amortization, and accrued expenses using approved schedules and supporting documentation.
Month-End Close and Reconciliation
- Prepare monthly bank, investment, and Ramp credit card reconciliations.
- Reconcile asset and liability accounts at month-end and review account analysis and reconciliation details.
- Investigate aged or unusual items and flag proposed write-offs or matters requiring management decisions.
- Review journal entries for accuracy, completeness, and consistency, escalating discrepancies when necessary.
- Maintain a clean, well-documented, and audit-ready general ledger.
- Identify opportunities to improve month-end close processes by reducing manual steps, strengthening controls, and improving reporting timelines.
Financial Reporting, Budgeting, and Compliance
- Enter approved budgets into QBO and prepare budget-to-actual reports.
- Collaborate with the fractional CFO on monthly financial reporting, ad hoc analysis, and preparation of Board meeting materials.
- Support annual financial statement audits by preparing schedules and gathering requested documentation.
- Prepare supporting schedules for the external tax firm's annual IRS Form 990 filing.
- Prepare IRS Forms 1099 and 1096 based on vendor classifications and requirements determined by the organization.
- Help document and periodically review internal controls supporting Board oversight and external audits.
- Maintain written accounting policies and procedures.
- Organize and retain digital records of bank statements, reconciliations, vendor invoices, donor and grant agreements, and other supporting documentation.
Program and Grant Support
- Support cost allocation across programs and grants to ensure shared expenses are distributed accurately and consistently.
- Assist with grant tracking and nonprofit-specific financial reporting.
- Monitor cash positions across accounts and flag potential transfers between operating and reserve accounts for approval. Execution of transfers is outside this role's responsibilities.
- Send invoices and receipts to external firms in accordance with documented procedures.
- Coordinate with the Partnerships team when donor- or funder-related matters require relationship-facing communication. Donor and funder correspondence remains the responsibility of the Partnerships team.
Financial Analysis and Process Improvement
- Build and maintain analytical Excel workbooks covering variance analysis, cash flow, program-level cost tracking, and Board-ready financial summaries.
- Support financial modeling and data analysis, including multi-year scenarios and growth projections as the organization expands.
- Assist with impact and outcomes reporting where financial and program data intersect.
- Use AI tools, including Claude and Claude Code, to explore workflow automation, improve reconciliation processes, draft analyses, and develop small tools or agents that accelerate reporting.
- Take on additional accounting, analysis, and operational assignments as needed in a small, collaborative finance team.
What You Need:
Non-negotiables
- Approximately 1–3 or more years of full-cycle bookkeeping or staff accounting experience, including month-end close, account reconciliations, and financial reporting—not solely transactional data entry.
- Strong proficiency in QuickBooks Online.
- Advanced Microsoft Excel skills, including pivot tables, lookup functions, conditional logic, and well-structured workbook design.
- Solid understanding of core accounting principles, including accruals, reconciliations, journal entries, and month-end close.
- Ability to prepare and review accounting work, investigate discrepancies, and raise concerns when transactions or balances do not appear correct.
- Genuine interest in financial analysis and understanding the business or program insights behind the numbers.
- Excellent written and spoken English.
- Ability to handle sensitive financial and related organizational information with discretion and confidentiality.
- Willingness and enthusiasm to work in an AI-forward environment and learn to incorporate AI tools into daily accounting and analysis workflows.
Preferred skills/expertise
- Experience in nonprofit accounting or fund accounting.
- Familiarity with U.S. Generally Accepted Accounting Principles (U.S. GAAP).
- Experience with Power BI or similar business intelligence and reporting tools.
- Previous experience building or using AI agents, automation tools, or AI-assisted workflows in finance and accounting.
- Experience supporting grant reporting, cost allocations, financial audits, or nonprofit tax documentation.
